Why Excel Fails for School Result Computation in Nigerian Schools

Excel feels familiar and free — but it is silently creating errors in your results, wasting your admin's time, and putting your school's reputation at risk every term.

Walk into any private school in Nigeria a week before result day and you will find the same scene: an admin with multiple Excel files open, copying numbers from one sheet to another, trying to remember which formula applies to which class, and hoping no teacher accidentally edited a locked cell.

Excel was not designed for school result management. It was designed for accounting and data analysis. Using it for results is like using a hammer to screw in a bolt — it works, sort of, until it really does not.

The 6 ways Excel creates real problems for Nigerian schools

1. Formula errors that are invisible until it is too late

Excel formulae break silently. A teacher adds a row in the wrong place. Someone pastes values over a formula. A column is accidentally deleted. The cell shows a number — not an error — so no one notices until a parent points out that their child's total is wrong.

2. No access control

When you send an Excel file to a teacher for score entry, you have lost control of that data. The teacher can see other students' scores, modify grades, or overwrite formulas. Excel has no concept of "this teacher can only edit this column for this subject."

3. Version control chaos

How many times have you received "results_final_FINAL_v3_corrected.xlsx" from a teacher? With multiple teachers submitting separate files, the admin must manually merge data — introducing exactly the kind of transcription error you were trying to avoid.

4. Position calculation with ties is almost always wrong

Correctly ranking students when two students have the same total is surprisingly difficult in Excel. Most schools either get it wrong silently or spend hours manually adjusting. A dedicated system handles tie-breaking correctly every single time.

5. No approval workflow

Excel has no concept of "submitted for review" or "approved." Once a teacher saves the file, there is no record of what changed, who changed it, or whether it was reviewed before printing. If a result is wrong, you cannot trace it.

6. Report card generation is a separate, manual process

Even when the Excel calculation is right, you still have to build the actual report card — in Word or another Excel template — and copy the data across. For a school with 300 students, that is 300 copy-paste operations per term. That is where the final wave of errors enters.

Excel workflow

  • Collect mark sheets from 10+ teachers
  • Manually enter or copy-paste scores
  • Maintain and debug complex formulas
  • Manually handle ties and edge cases
  • Build report cards in Word/Excel template
  • No audit trail if errors are found
  • 3–5 days per term

Acadra workflow

  • Teachers enter scores directly
  • Totals, grades, positions computed instantly
  • No formulas to maintain
  • Ties handled automatically
  • Report cards generated with one click
  • Full audit trail on every change
  • Under 6 hours per term

"But Excel is free"

This is the most common objection. And it is true — Excel costs nothing per month. But it is not free. The admin hours spent building and maintaining spreadsheets, the reprints after errors, the parent complaints, the damaged reputation — those have real costs.

📌

A school with 200 students that spends 4 days on results each term spends 12 days per year on result prep. At even a modest admin salary, that is significant labour cost — far more than any school management software.

The question is not "can we afford school management software?" The question is "can we afford not to have it?"
